The Schools and Libraries Division is now launching a new feature for the 1999-2000 program year: a Receipt Acknowledgement Letter for each Form 471 applicant, confirming that your application has been received and entered
into our data system. The first of these letters is going out in the next few days.

What This Letter Is - and Isn't
Your Receipt Acknowledgement Letter is sent out after data entry is complete on your application but before we have begun any program integrity review (which may involve phone and fax communication between you and our staff). Thus, the Receipt Acknowledgement Letter does NOT reflect any decisions on your funding requests, and is NOT a commitment of funding. Instead, it simply shows you the information we have in our data system based on your application.

We'll also send a Receipt Acknowledgement Letter to the service providers whose SPINs are listed in your Form 471. This will alert service providers that your application is in our data system and allow them to begin preparing for inclusion of your discounts in your bills once funding commitments are issued.

Correcting Data Entry Errors
Please read carefully both the body of the Receipt Acknowledgement Letter and the data we show from your Form 471 application. If we (or you) have made errors in data entry, or if your Block 1 information has changed, the Receipt Acknowledgement Letter offers you the opportunity to correct these items. Block 1 changes and corrections of data entry errors are the only changes permitted following the Receipt Acknowledgement Letter. You cannot use the Receipt Acknowledgement Letter process to add requests, change service providers, or make other changes in the substance of your application as you originally submitted it.

To properly process your application, we'll need to receive your data entry corrections as soon as possible. We strongly encourage you to notify us of any necessary corrections within two weeks of receiving your Receipt Acknowledgement Letter. To make data entry corrections, follow these simple steps:

1. Photocopy your Receipt Acknowledgement Letter.
2. Draw a line through each incorrect item, and mark clearly next to it what the correct information should be.
3. Make a photocopy of your marked-up letter to keep for your files.
4. Send your marked-up letter as soon as possible to: Data Entry Corrections, Schools and Libraries Division, Box 125 - Correspondence Unit, 100 South Jefferson Road, Whippany, NJ 07981. (Please, no fax or e-mail.) We recommend that you send your marked up letter via certified mail or another mode of delivery that will provide you with proof of delivery.
5. Allowable corrections will be reflected in your Funding Commitment Decision Letter. We will not make corrections that do not fall into the "data entry corrections" category as defined above.
