{"id":18151,"date":"2017-02-03T17:01:46","date_gmt":"2017-02-03T17:01:46","guid":{"rendered":"http:\/\/e-ratepaorg.local\/?p=18151"},"modified":"2017-02-07T17:04:47","modified_gmt":"2017-02-07T17:04:47","slug":"updating-epc-profile-guide-and-nslp-data-released","status":"publish","type":"post","link":"https:\/\/e-ratepa.org\/?p=18151","title":{"rendered":"Updating EPC Profile Guide and NSLP Data Released"},"content":{"rendered":"<p>February 3, 2016<\/p>\n<p><strong>E-rate FY 2017 \u201cAdmin Window\u201d is Open<br \/>\n<\/strong>~ Schools and Libraries Should Update Profile Data Now ~<strong><br \/>\n<\/strong>~ Libraries will NOT enter enrollment\/NSLP data ~<strong><br \/>\n<\/strong>~ <a href=\"https:\/\/e-ratepa.org\/wp-content\/uploads\/2017\/02\/Guide-to-Entering-Enrollment-NSLP-Data-in-EPC-Profiles.pdf\" class=\"mtli_attachment mtli_pdf\" target=\"_blank\">Helpful Guide<\/a>\u00a0and <a href=\"https:\/\/e-ratepa.org\/wp-content\/uploads\/2017\/02\/NSLP-Valid-File-District-Copy-2-3-2017.xlsx\" class=\"mtli_attachment mtli_xlsx\" target=\"_blank\">New NSLP Attached<\/a>\u00a0~<\/p>\n<p>The special FY 2017 E-rate Admin Window is now open, and schools and libraries have until Sunday, February 26 to update their school and library profiles.\u00a0 After that, the data will be \u201clocked down\u201d and the Form 471 window will open on February 27.\u00a0 After the Admin Window closes, it will not be possible to update this data in the EPC profiles because that data will be linked to active library and consortia applications.<\/p>\n<p><strong>What Should You Update in EPC?<\/strong><\/p>\n<ol>\n<li>Review the entities in your EPC Portal and contact USAC at 888-203-8100 to have any new entities added, such as new schools, libraries, NIFs, etc. \u00a0To see a complete list of what entities\/data is currently in your EPC Portal, download the Entity List at:\u00a0 <a href=\"https:\/\/data.usac.org\/publicreports\/EntityDownload\/Entity\/Download\">https:\/\/data.usac.org\/publicreports\/EntityDownload\/Entity\/Download<\/a>.\u00a0 It will give you a report for the entire state, and then you can filter by your Parent Entity (Column D).\u00a0 The enrollment\/NSLP data currently in a school\u2019s EPC profile can be found in Columns BR-BX.<\/li>\n<li>Public and nonpublic schools should update the enrollment and NSLP for each school and the NSLP File is attached to this message, containing the data that was submitted to PDE in October 2016.\u00a0 You may also use alternative data (such as surveys, more recent data, etc.), or last year\u2019s data, but regardless of which data you use, you cannot mix funding years.\u00a0 If a school is participating in the Community Eligibility Provision (CEP) program, \u201cCEP\u201d will be noted in the Free\/Reduced Lunch Column (Column I) in which case that school\u2019s EPC Profile should mark YES the Community Eligibility Provision and then enter the CEP% number from Column J in the required EPC field.<\/li>\n<li>Attached is a Guide to Updating EPC Profiles which contains screenshots of the EPC profile pages for both CEP schools and non CEP schools.\u00a0 Use this Guide and you will succeed!<\/li>\n<\/ol>\n<p><strong>Where Should You Update EPC Profiles?\u00a0 <\/strong><br \/>\nYou must access each school\u2019s EPC Profile page to update this information.\u00a0 Follow these steps:<\/p>\n<p>&gt; Log-In to EPC at: <a href=\"https:\/\/portal.usac.org\/suite\/\">https:\/\/portal.usac.org\/suite\/<\/a>.\u00a0 Passwords are only good for 60 days so if it\u2019s been longer than that, you\u2019ll have to reset it.\u00a0 If you don\u2019t have an EPC account, call CSB at 888-203-8100 and have them create one for you.<br \/>\n&gt; Go to your <strong>EPC Landing Page<\/strong> (home screen).\u00a0 Click on the <strong>USAC Logo<\/strong> in the top left side of the page to get there.<br \/>\n&gt; Click on the <strong>School&#8217;s name<\/strong> for which you want to modify (tab through to see other schools as they only show 5 to a page)<br \/>\n&gt; This screen will show the school&#8217;s data currently in the system.\u00a0 To modify this data, click on <strong>Modify Organization<\/strong> at the top right side of the page<br \/>\n&gt; Scroll down to the <strong>School Information<\/strong> Section and enter the relevant data.\u00a0 Note: The data currently in the fields is what you inputted for FY 2016.<br \/>\n&gt; Note, the system will require you to fill in 0 for the part time fields if you only have full time students.\u00a0 It also will require you to select NONE if you didn&#8217;t use an Alternative Discount Mechanism.<br \/>\n&gt; After you click Submit, the system will ask you to assign a <strong>Nickname<\/strong> to this change.\u00a0 You can just click the space bar to get past this page.<br \/>\n&gt; To return to the list of schools, click on the USAC Logo on the top left side of the page to return to your <strong>Landing Page<\/strong>. Start the process over for the next school in the list.<\/p>\n<p><strong>A few important notes:<\/strong><\/p>\n<ol>\n<li>Please review your schools\u2019 data carefully to ensure that it is accurate and if it is not, contact PDE\u2019s Bureau of Food and Nutrition immediately at 717-783-6558 and let me know as well (each year a handful of schools notice glaring clerical errors that were made when their food service official updated their information in the PDE database).<\/li>\n<\/ol>\n<ol>\n<li>This spreadsheet only contains buildings that have students participating in the NSLP program.\u00a0 If your school does not participate in the NSLP, they still must be included in your EPC Portal and have enrollment and NSLP eligibility data entered. \u00a0If you do not have the NSLP data and cannot obtain it from other sources, you can list 0 and receive the minimum 20% E-rate discount for that school.<\/li>\n<\/ol>\n<ol>\n<li>Don&#8217;t forget:\u00a0 Your EPC profiles must contain <strong>ALL<\/strong> of the buildings that are receiving E-rate discounted services, including your non-instructional facilities (NIFs), such as bus barns, administration buildings, etc.\u00a0 If you have not yet added those NIF buildings into your EPC Portal, call USAC at 888-203-8100 and have them added.<\/li>\n<\/ol>\n<ol>\n<li>Column G contains your E-rate entity number for that building, but you will notice that some cells are blank. \u00a0If you have these entity numbers, will you please e-mail them to me so I can update this spreadsheet before submitting to USAC?<\/li>\n<li>When the SLD&#8217;s PIA staff reviews your applications, they use the attached data to validate your discounts.\u00a0 If you have other data (such as from an income survey or more recent NSLP data), you may use it but you should expect a call from the PIA staff requesting thorough documentation to validate your figures.<\/li>\n<\/ol>\n<ol>\n<li>Each school&#8217;s profile page has fields for State School and LEA Codes and NCES codes.\u00a0 You are not required to enter this data. \u00a0Warning, if the system gives you an error for these fields, just erase the data and hit Submit.<\/li>\n<\/ol>\n<ol>\n<li>There is a template to upload the enrollment\/NSLP or CEP data into EPC instead of going through this process school by school (which will be useful for large school districts).\u00a0 It&#8217;s available under &gt; Related Actions, then &gt; Upload Entity Profile Data.<\/li>\n<\/ol>\n<ol>\n<li>Consortia will NOT enter this data for their member schools\/districts.\u00a0 In fact, they cannot enter this data for their members (it all has to be done at the district level).<\/li>\n<\/ol>\n<ol>\n<li>If you have any questions about your NSLP information, contact the PDE Bureau of Food and Nutrition at 717-783-6558.\u00a0 If you have questions about your CEP information, contact Eliza Hanft at <a href=\"mailto:ehanft@pa.gov\">ehanft@pa.gov<\/a>.<\/li>\n<\/ol>\n<p>&#8212; Julie<\/p>\n<p>Julie Tritt Schell<br \/>\nPA E-rate Coordinator<br \/>\n717-730-7133 &#8211; o<br \/>\n717-730-9060 &#8211; f<br \/>\n<a href=\"mailto:jtschell@comcast.net\">jtschell@comcast.net<\/a><br \/>\n<a href=\"http:\/\/www.e-ratepaorg.local\">www.e-ratepa.org<\/a><\/p>\n<p>penn*link<\/p>\n\n<div class=\"twitter-share\"><a href=\"https:\/\/twitter.com\/intent\/tweet?via=eratepenn\" class=\"twitter-share-button\" data-size=\"large\">Tweet<\/a><\/div>\n","protected":false},"excerpt":{"rendered":"<p>February 3, 2016<\/p>\n","protected":false},"author":3,"featured_media":0,"comment_status":"closed","ping_status":"open","sticky":false,"template":"","format":"standard","meta":{"footnotes":""},"categories":[52],"tags":[],"class_list":["post-18151","post","type-post","status-publish","format-standard","hentry","category-listserve_archive"],"_links":{"self":[{"href":"https:\/\/e-ratepa.org\/index.php?rest_route=\/wp\/v2\/posts\/18151","targetHints":{"allow":["GET"]}}],"collection":[{"href":"https:\/\/e-ratepa.org\/index.php?rest_route=\/wp\/v2\/posts"}],"about":[{"href":"https:\/\/e-ratepa.org\/index.php?rest_route=\/wp\/v2\/types\/post"}],"author":[{"embeddable":true,"href":"https:\/\/e-ratepa.org\/index.php?rest_route=\/wp\/v2\/users\/3"}],"replies":[{"embeddable":true,"href":"https:\/\/e-ratepa.org\/index.php?rest_route=%2Fwp%2Fv2%2Fcomments&post=18151"}],"version-history":[{"count":0,"href":"https:\/\/e-ratepa.org\/index.php?rest_route=\/wp\/v2\/posts\/18151\/revisions"}],"wp:attachment":[{"href":"https:\/\/e-ratepa.org\/index.php?rest_route=%2Fwp%2Fv2%2Fmedia&parent=18151"}],"wp:term":[{"taxonomy":"category","embeddable":true,"href":"https:\/\/e-ratepa.org\/index.php?rest_route=%2Fwp%2Fv2%2Fcategories&post=18151"},{"taxonomy":"post_tag","embeddable":true,"href":"https:\/\/e-ratepa.org\/index.php?rest_route=%2Fwp%2Fv2%2Ftags&post=18151"}],"curies":[{"name":"wp","href":"https:\/\/api.w.org\/{rel}","templated":true}]}}
